Ask for time off

Send a request for holiday, sick, personal or unpaid time off from your iPhone, and see what it would leave of your holiday before you send it.

Who can do this: Everyone, at a location that has Rota & Team switched on

On this page

You ask for time off on the iPhone app. The website has no form for it. A request goes to the people who approve time off at your location, and nothing is booked until one of them approves it.

On the phone

  1. Open Me. Under My rota, press Time off.
  2. Press Request time off.
  3. Under Type, choose Holiday, Sick, Personal or Unpaid. Only Holiday is taken from your holiday balance.
  4. Under Dates, press Select dates. Tap the first day, then the last day, and press Confirm range. For one day, tap it and press Confirm. Days that have already passed can be picked.
  5. Check Hours a day. It starts on the length of your usual shift where the app can tell, otherwise 8, and you can type your own figure. A note under it says where the figure came from, for example “Contract · 40h a week”.
  6. Add a Reason · optional if you want your manager to read one.
  7. Read Total: the days and the hours the request comes to. For holiday, the bar underneath draws This request into your year, and If approved says what would be left.
  8. Press Send request. The sheet changes to Sent and shows the request with its stamps: Sent, Manager, Approved. Press Done. It says Time off requested.

How the hours are counted

Each day you ask for costs the hours a day on the request. If you have contracted hours, a request never costs more than your contracted week in any seven days, so a whole week off on a 40-hour contract costs 40 hours, not seven days’ worth. When that applies the sheet says so, for example “A week off is 40h · days off not counted”.

What happens next

The request is in your list under Upcoming, and your inbox has an entry called Time off requested marked Waiting. Everyone who approves time off at your location is told. When one of them answers, you are told too: see Check on a time-off request.

The request is filed at the location you have picked in the app, if you work there. If you do not, it is filed at your home location.

You can also ask Ask Yes Chef, on the phone or the web, to set a request up. It shows you the request as a card and sends nothing until you press the card’s button.

If it doesn’t work

“Dates required”, with “Pick a start and end date.”
No dates were chosen. Press Select dates, pick them, and confirm.
“Hours a day”, with “Must be between 0 and 24.”
The hours box is empty, nought, or more than 24. Type the hours one day off is worth.
“Could not submit”, with a line such as “Max 2 staff off per day reached — try a different date or ask your manager.”
Your location limits how many people can be off on one day (the number is your location’s), and that many are already approved off on a day you picked. Pick other dates or speak to your manager. Requests still waiting do not count towards the limit.
“Could not submit”, with a line ending “the limit is 0 people off a day. Ask your manager.”
Your location has its limit set to 0, so nobody can ask for time off there. Speak to your manager.
“No location”
The app does not know which location you are at. The message says what to do: “Pick a location at the top of the app, or ask your manager to set your home location.”
There is no Time off row under Me
Time off is part of Rota & Team. The row is not shown at a location that has that part of the app switched off.
