Check on a time-off request

See whether your time-off request is waiting, approved or declined, and why, on the iPhone or the web.

Who can do this: Everyone, for their own requests

Web and iPhoneChecked

On this page

A request is in one of four states: Waiting, Approved, Declined or Cancelled. You are told when it is answered, and a decline always comes with the reason your manager typed. You are also told if a manager cancels time off you had approved, with their reason.

On the phone

  1. Open Me. Under My rota, press Time off.
  2. Requests that are waiting or approved, with days still to come, are under Upcoming, soonest first. If any are still with a manager, the heading says how many are waiting.
  3. Each request has its dates, the type, the days and the hours a day, and a row of stamps. While it waits the stamps are Sent, Manager, Approved, with Manager as the one it is on. Once answered, the last stamp is Approved or Declined.
  4. Requests whose last day has gone, and requests that were declined or cancelled, are under Past, newest first. A declined request has a line beginning “Declined:” with the reason. A cancelled request’s stamps end in Cancelled; if a manager cancelled it, a line beginning “Cancelled:” gives their reason.

On the web

The website has no list of your own requests. It shows the ones that are waiting or newly answered, in two places.

  1. Open Home. Your time off lists each request still waiting, then each answer you have not seen yet.
  2. Click a row. A panel opens with the type and the dates, the state, who answered and when, the reason for a decline, and under it Days, Location, Asked and your own Note.
  3. The same panel opens from your inbox, the bell at the head of the sidebar, when you click an entry about your request.

How you are told

  • Inbox. When you send a request your inbox gets an entry, Time off requested, marked Waiting. When it is answered that entry is replaced by Time off approved or Time off declined, unread, with the reason under a decline.
  • Phone notification. The answer is also sent to your phone if notifications are on.
  • Home. On the phone, Your time off is on Today (or Hub). On the web it is on Home. Pressing a row there counts as having seen the answer.

When it leaves the home screen

A waiting request stays on the home screen until it is answered or its days have passed. An answer stays until you have seen it, by opening it or reading its inbox entry, and for a week at most. After that it is still in your list on the phone, under Upcoming or Past.

Once it is approved

You cannot be put on a shift on those days. Approved holiday also comes off your balance: see See your holiday balance.

If it doesn’t work

It has been waiting a long time
Everyone who approves time off at your location was told when you sent it, and it stays on their list until one of them answers. Speak to your manager.
Nothing is under Your time off
Nothing of yours is waiting, and there is no answer you have not seen. On the phone, the full list is under Me, then Time off.
You asked for the wrong dates
See Cancel or change a time-off request.
