Give someone an extra permission
Switch one permission on or off for one person without changing their level, such as letting a Supervisor publish the rota.
On this page
A level is a starting point. On top of it, each person has their own switches, so you can give one Supervisor the right to publish the rota, or take pay rates away from one manager, without changing their level. This is done on the web; the iPhone app changes the level only.
Go to Rota & team, then Staff
- Press the person’s name to open their file.
- Open the Permissions tab.
- Scroll to Switches. The permissions are listed in groups, such as Rota, Timesheets & pay and Checks. Only the ones this person’s level can have are listed.
- Turn the switch on or off. The permission is marked Changed, and the panel is marked Unsaved.
- Check What they’ll see: it redraws the person’s sidebar and phone tabs as you switch.
- Press Save permissions. It says Permissions saved.
An example: a Supervisor who publishes the rota
A Supervisor can build the rota by default but cannot publish it. Open the Supervisor’s Permissions tab, find Rota, switch on “Publish the rota” and save. They can now publish at the locations they work at. To let them change a week that has already gone out, also switch on “Change a published rota and shifts that have started”.
What the marks beside a switch mean
- Changed: this switch differs from the level’s default.
- Always on: it cannot be switched off at this level. That is “Change people’s permission level and permissions”, for an Admin.
- A chip beginning Needs: this permission is no use without another one, which is off. Switch that one on first. For example, “Publish the rota” needs “Build and edit the rota”.
To undo every change for the person, press the link that begins Reset to the, beside the count of changes, then save.
What happens next
The change applies as soon as you save, at every location the person works at. Pages and tabs they have gained appear for them; ones they have lost go.
If it doesn’t work
- The switch is greyed out
- It is marked Always on, or it needs another permission that is off. The chip beside it says which.
- You switched it on and they still cannot use the page
- Check the location they are looking at. A permission applies only where the person works, and only where the location has that part of the app switched on.
- Save permissions cannot be pressed
- Nothing differs from what is saved. If you changed a switch and changed it back, there is nothing to save.
- “Couldn’t save permissions”
- The line under it gives the reason. “Give them a site to work at first” means a Supervisor or Location Manager has no location; add one to them first.
