Change someone’s level

Make someone an Admin, Location Manager, Supervisor or Employee from their staff file on the web or the iPhone.

Who can do this: Admins only. Nobody can change their own level.

Web and iPhoneChecked

On this page

A person’s level sets what they can do to begin with. Changing it takes effect as soon as you save, on the web and on their phone. For what each level starts with, see What each level can do.

On the web

Go to Rota & team, then Staff

  1. Press the person’s name to open their file.
  2. Open the Permissions tab. Only an Admin has this tab.
  3. Under Level, pick the new level. Each card shows how much of the list that level starts with.
  4. Look at What they’ll see beside it: the sidebar and the phone’s tabs this person would have. For anyone above Employee, Applies at lists the locations where the level counts.
  5. Press Save permissions. It says Permissions saved.

On the phone

  1. Open Team and press the person.
  2. Press Edit pay and role.
  3. Under Permission level, choose Employee, Supervisor, Location Manager or Admin.
  4. Press Save changes. It says Changes saved.

The phone changes the level only. Single permissions are switched on the web. If you are not an Admin, the level is shown with “set by an Admin” and cannot be changed.

What happens next

The person gets a notice in their inbox headed Your level changed. Their sidebar and tabs change to match the new level. The change is recorded in the event log.

Where the level applies

You do not choose locations here. A Location Manager’s or Supervisor’s level applies at the locations they work at: their home location and any additional ones. To change that, change where they work. See Move someone to another site.

If it doesn’t work

There is no Permissions tab on the person
You are not an Admin. Only Admins can change levels and permissions.
Your own Permissions tab says “Your own · locked”
Nobody can change their own level, so that nobody can promote themselves or lock themselves out. Another Admin has to do it.
The lower levels cannot be picked for an Admin
They are the only Admin. There has to be at least one, so make someone else an Admin first.
“Give them a site to work at first”
A Supervisor or Location Manager has to work somewhere for their level to apply. Add a location to the person, then change their level.
You changed the level and they still cannot see a location
Their level counts only where they work. See Why someone cannot see a location.
