Why someone cannot see a location
A person sees only the locations they work at. How to check a person’s locations, add one, and what changes for managers and Admins.
There is one list of where a person is: their home location and any additional ones. That list decides two things at once: which locations they can switch to, and where their level applies. If a location is not on it, the person cannot see that location at all.
Who sees what
- Employees, Supervisors and Location Managers see the locations they work at, and only those. A Location Manager is a manager at their own locations, not at every one.
- Admins see every location, as long as “Access all locations” is on for them. It is on by default. An Admin with it switched off sees only the locations they work at, like everyone else.
Check where a person works
Go to Rota & team, then Staff
- Press the person’s name to open their file.
- Under their name is a row of location chips. The one with the house icon is their home location; the others are additional.
- If you are an Admin, the Permissions tab also shows Applies at: the locations where their level counts, or All locations.
Add a location to a person
- In the row of chips, press the dashed chip Site.
- Pick the location. Only locations you may add them to are offered.
- It says Added to with the location’s name. The person can now switch to it, and is on its staff list and can be put on its rota.
On the phone, open the person from Team, press Edit pay and role, tick the location under Works at and press Save changes.
To change which location is home, or to take someone off one, see Move someone to another site.
If it doesn’t work
- The location is not in the person’s list when they switch location
- It is not one of the locations they work at. Add it to them as above.
- There is no dashed Site chip on the person
- There is no location left that you may add them to. You need “Edit staff details and where they work” at the location you want to add, and for a Supervisor or Location Manager you need to be an Admin.
- “You can’t add people at …”
- You do not hold “Edit staff details and where they work” at that location.
- “Only an admin can put a manager or supervisor on at …”
- Their level would apply at the new location, so an Admin has to add it.
- An Admin cannot see a location
- Open their Permissions tab and check “Access all locations” under Settings. With it off, add the location to them like anyone else, or switch it back on.
- They see the location but not a page they expected
- That is a permission, or a part of the app switched off at that location. See Why a page is missing or says “No access”.
