Discard a timesheet

Throw out a timesheet whose hours should not count, such as a clock-in made by mistake, and restore one that was discarded.

Who can do this: Anyone with “Approve clock-ins” (Supervisors, Location Managers and Admins by default) or “Approve timesheets” (Location Managers and Admins by default).

Web and iPhoneChecked

On this page

Discarding is for a timesheet that should not be there at all. If the shift was worked and only the times are wrong, edit it instead. A discarded timesheet is kept in the list, struck through, and can be restored.

On the web

Go to Rota & team, then Timesheets

  1. Click the timesheet to open it. It can be waiting or already approved.
  2. At the foot of the panel, press the three-dot button and choose Discard.
  3. In the box headed Discard this timesheet, type the reason, such as “Clocked in by mistake”. A reason is required.
  4. Press Discard. It says Discarded.

On the phone

On the phone you can discard a timesheet that is waiting, not one already approved.

  1. Open Team, choose Timesheets, and tap a timesheet marked To approve.
  2. Press Discard. A box headed Reason for discarding opens.
  3. Type the reason and press Discard again. It says Timesheet discarded.

What happens next

  • The timesheet shows Discarded, with who discarded it, when, and the reason.
  • Its hours do not count: it is left out of the payroll export and off the Payroll page.
  • The person is told. Their inbox shows Clock-in rejected with “You may need to clock in again”, and tapping it takes them to their home screen.
  • If it was the timesheet for a shift on the rota, that shift now counts as having no clock-in and appears as Absent once it is over.

Restore a discarded timesheet

Open it and press Restore. It says Restored on the web and Timesheet restored on the phone. The timesheet goes back to To approve, with its hours as they were, and waits for someone to press Approve. Restoring does not approve it.

If it doesn’t work

“Still on shift — set an end time first”
They have not clocked out, so there is no finished timesheet to discard. Give it an end time first.
The Discard button stays greyed out
The reason is empty.
There is no Discard in the menu
You do not have a permission to approve, or the timesheet is already discarded or the person is still on shift.
On the phone there is only Un-approve
The timesheet is approved. Discard it on the web, or press Un-approve first and then Discard.
