Fix a forgotten clock-out
What Yes Chef does when someone leaves without clocking out, and how to set the time they really finished.
On this page
A clock-in nobody clocks out of does not run for ever. Yes Chef closes it, guesses the finish time, and holds the timesheet for a manager to check.
What Yes Chef does by itself
- With a shift on the rota: three hours after the shift’s scheduled end, the person is clocked out, and the finish time is set to the scheduled end.
- With no shift: 12 hours after they clocked in, they are clocked out at that moment.
- A break left open is ended at the same time.
- The timesheet is flagged Forgot to clock out and marked To approve. People who approve clock-ins are told, with “Forgot to clock out · clocked out automatically”.
Set the real finish time
On the web
Go to Rota & team, then Timesheets
- Open the timesheet flagged Forgot to clock out. Under Clocked, the Out line says “clocked out automatically”.
- Change End to when they finished, and the Break if it is wrong. Press Save changes.
- If it still says To approve, press Approve.
On the phone
- Open Team, choose Timesheets, and tap the timesheet. The Out line says “automatic”.
- Press Edit, type the real End, and press Save.
- If it still says To approve, press Approve.
If the scheduled end was right, there is nothing to correct: approve it as it stands.
Clock someone out who is still showing as on shift
You do not have to wait for the automatic clock-out. On the web, the Timesheets page lists who is clocked in under On shift now, and their timesheet in the week’s list shows On shift. Open it, type an End and save: that clocks them out at the time you gave. See Edit a timesheet.
If it doesn’t work
- The hours look far too long
- The automatic clock-out has not run yet, or the person clocked out much later by hand. Set the End to the real time.
- “They already have a timesheet covering that time”
- The end you typed runs into the person’s next timesheet. Use an earlier time.
- The End box is greyed out
- You do not have the “Edit clock-in and clock-out times” permission.
