Clock in and out on the phone
Start and end your shift from the iPhone app, and what makes a clock-in wait for a manager’s OK.
Clocking in and out is done in the iPhone app. There is no clock-in on the web. Each clock-in, with its breaks and its clock-out, becomes one timesheet for your manager.
Clock in
- Open Today. The card says Not clocked in. It clocks you in at the location you have selected in the app.
- Press Clock in. At a site that takes a photo each time, the key says Clock in (selfie).
- The first time, a sheet headed Clocking in shows what your site checks, and what your phone is about to ask for (Location, and Camera at a selfie site). Press Continue and allow them. At a selfie site the front camera then opens: take the photo.
- The card changes to Clocked in, with the time you have been on and the keys Start break and Clock out.
Clock out
- Open Today, or the shift’s screen.
- Press Clock out. It says Clocked out.
You cannot clock out while you are on a break: press End break first. See Take a break.
When a clock-in needs a manager’s OK
You are clocked in either way. Some clock-ins are also held for a manager to look at before the hours are approved:
- Early or late. Yes Chef matches your clock-in to your shift on the published rota: the one under way, or the next one starting within 12 hours. More than 15 minutes before or after its start, the clock-in is held. On the shift’s screen the card warns you first: Early · needs a manager’s OK or Late · needs a manager’s OK.
- No shift. If you have no shift to match, including one that is only on a draft rota, the clock-in is held.
- Off site, or location off. At a site with a clock-in zone. See Clock in away from the site.
- Clocking out early or late. More than 15 minutes before or after the shift’s scheduled end.
A clock-in and clock-out within those limits needs nobody: the timesheet is approved by itself.
If you forget
- To clock in. Five to ten minutes before a shift you have not clocked in for, your phone reminds you, and Clock in appears in your inbox. Tap it to open the shift. If you worked without clocking in at all, ask your manager: they can add the timesheet by hand.
- To clock out. You are clocked out automatically three hours after the shift’s scheduled end, with the scheduled end as your finish time. With no shift, it happens 12 hours after you clocked in. Either way the timesheet is held for a manager, who can correct the time.
If it doesn’t work
- “Couldn’t clock in” with “You are not assigned to this location”
- You can only clock in where you work. The location has to be your home location or one of your additional locations. Check which location is selected in the app, or ask your manager to add you to this one.
- “Couldn’t clock in” with “Already clocked in — clock out first”
- An earlier clock-in is still open, possibly at another location. Clock out of it first.
- “Camera is off”
- It adds “You’re not clocked in. This site needs a selfie each time.” Press Open Settings, allow the camera for Yes Chef, and clock in again.
- “Off-site?” or “Location off”
- Your site has a clock-in zone. You can still clock in. See Clock in away from the site.
- An inbox item headed “Clock-in rejected”
- A manager discarded that timesheet, so its hours do not count. The item says “You may need to clock in again”. If you are at work, clock in again; if not, speak to your manager.
- There is no clock card on the shift’s screen
- The card shows from 30 minutes before the shift until it ends, or for up to four hours after the end while you are still clocked in. It is not shown on someone else’s shift, or on a shift whose rota is not published.
