Offer out an open shift

Send a shift that needs cover to everyone who could work it, from the web, and let the first to accept take it.

Who can do this: Admins, Location Managers and Supervisors by default. It takes the “Offer out open shifts” permission, and “Build and edit the rota” to open the shift.

When someone cannot work a shift, you can offer it to the team instead of ringing round. Everyone who could work it is told, and the first to accept gets it. This is done on the web, from the shift itself.

On the web

Go to Rota & team, then Rota

  1. Go to the week and click the shift. The week has to be published and the shift has to be in the future.
  2. In the Edit shift form, switch on Same-day pay if you are offering that. The offer is then marked Same-day pay on people’s phones.
  3. Press Broadcast as open shift. It says Open shift broadcast and how many staff were notified.

Who is told

The offer goes to active staff who:

  • work at the shift’s location, as their home location or an additional one;
  • are assigned to the shift’s area;
  • have no approved time off covering the shift;
  • have no shift of their own at that time on a published rota;
  • have not been opted out of open-shift offers on their staff profile.

The person who has the shift now is not sent it.

What happens next

  • Each of them sees the offer under Open shifts on their phone. See Pick up an open shift.
  • The first to accept gets the shift. It moves to them on the rota at once, costed at what they are paid. No approval step follows.
  • Until someone accepts, the shift stays in the original person’s name. If nobody takes it, it is still theirs.

Follow or cancel an offer

On the web: the list of offers

Go to Rota & team, then Swaps & open shifts

Currently open lists each offer still out: when it was sent, the shift, its area, how many people were notified and who sent it. Press Cancel on a row and confirm to withdraw it. It says Broadcast cancelled. Past broadcasts shows the ones that were taken, and by whom, or cancelled.

If it doesn’t work

There is no Broadcast as open shift button
The button is only in the form for a shift on a published week that is not already on offer. On a draft, publish first.
“Couldn’t broadcast the shift”, with “Publish the rota first.”
The week is still a draft.
“Cannot open past shifts”
The shift has already started.
“Already broadcast”
The shift is already on offer.
It says 0 staff notified
Nobody meets all the conditions above. Most often nobody else is assigned to the shift’s area, or everyone who is already has a shift then. Give the shift to someone directly instead.
