Change a location’s settings

Edit a location’s name, address and time zone, its labour target, the day the week starts, its clock-in zone and how many people can be off at once.

Who can do this: People who hold “Add locations and edit their settings” at the location: Admins by default; a Location Manager can be given it.

On this page

Each location has one settings page, on the web. It is headed Location and holds the rules the rest of the app works from at that site.

Go to Settings, then Location settings

  1. Pick the location in the sidebar.
  2. Open Settings, then Location settings.
  3. Change what you need in the sections described below.
  4. Press Save settings at the foot of the form. It says Settings saved.

What is on the form

  • Details: the location’s Name, Address and Time zone. Times on the rota, checks and timesheets are in this time zone.
  • Labour target: wages as a share of sales. Under Aim for, give the lowest and highest percentage you want. The rota colours its labour figure against this range.
  • Week: whether the rota’s week starts on Monday or Sunday.
  • Clock-in zone: how close someone must be to clock in. Use Find the venue or drag the pin to set the centre, and type a distance under Within. Leave the distance empty and it reads Off: there is no zone.
  • Holiday: Weeks a year, Days carried over, when the leave year starts and how holiday builds up. See Set the holiday rules for a location.
  • Time off: Most off in a day, the number of people who can be off on the same day. Leave it empty for No cap.

What happens next

The new settings apply at once, to everyone at the location. The change is recorded in the event log with who made it.

If it doesn’t work

There is no Location settings page under Settings
You do not hold “Add locations and edit their settings” at the location picked.
“Max must be greater than min”
In the labour target, the highest percentage has to be above the lowest.
“Max staff off must be 0 or greater”
Most off in a day cannot be a negative number. Leave it empty for no cap.
“Below the UK minimum”
The weeks of holiday a year are under 5.6. This is a warning beside the field; check the figure.
“You don’t have permission to change this location’s settings”
Your permission was changed while the page was open. Ask an Admin.
