Set up areas, positions and stations

Add, rename and delete a location’s areas, job titles and stations on the web, and what each of the three is for.

Who can do this: People who hold “Edit areas, positions, stations and service times” at the location: Admins and Location Managers by default; a Supervisor can be given it.

On this page

Each location has three lists of its own. They do different jobs.

  • Areas are where people work on the rota, such as Kitchen and Front of house. Every shift is in an area, and the rota is laid out by area.
  • Positions are job titles, such as Head Chef or Waiter. They say what each person is. They are optional.
  • Stations are places within an area, such as Grill or Pass, used by checks, equipment and training. They are optional.

Go to Settings, then Areas & positions

Pick the location in the sidebar first. The page is headed Areas & positions and has a section for each list.

Add or rename an area

  1. In Areas, press Add. Or press one of the suggested names to add it in one go.
  2. Type the name and save. It says Area added, and the picture beside the list shows how the rota will be laid out.
  3. To rename one, press the pencil on its row, change the name and save. It says Area renamed. Shifts and people in the area keep it under the new name.

Add a position or a station

  1. In Positions or Stations, press Add. If the section says Add an area first., do that first.
  2. Type the name and choose its Area, or No area.
  3. Save. The new one appears under its area.
  4. To change one, press it, edit the name or the area, and save. The number on a position is how many staff hold it.

Giving a person their areas and position is done on their staff file; see Edit someone’s details.

Delete one

Press the bin on an area’s row, or open a position or station and press its bin. A box asks Delete with its name and says what will happen. Press Delete to go ahead.

  • An area: its positions and stations stay, without an area. Checks stop naming it. People assigned to it are unassigned. It cannot be deleted while it has shifts, rota templates or training tracks.
  • A position: the staff who hold it lose it.
  • A station: checks, equipment and training lose their link to it.

The labour target on this page

The top of the page shows the location’s Labour target, the range the rota colours its labour figure against. Edit opens the location’s settings to change it; that needs “Add locations and edit their settings”. See Change a location’s settings.
