Add a location
Add a new site to your organisation on the web: where it is, what it uses, its till, its areas and team, and its targets.
On this page
A location is one site: it has its own rota, areas, checks and settings. Adding one is a walk of five steps on the web, named along the top: Location, Uses, Till, Set-up and Targets. Only the first has to be done in one go.
Step 1: create the location
- Open the Location row at the top of the sidebar and press Add new location. Or open Settings, then Locations, and press New location.
- Under Address, start typing in Find the venue and pick the place. Its name, address and a pin on the map are filled in. Correct Name, Town / city and Postcode if you need to. The pin later becomes the centre of the clock-in zone.
- Under Icon and colour, pick the mark that will tell this site from your others, or leave the one offered.
- Under Start from, choose A blank site or A copy of another site. See below for what each brings.
- Under Week, choose whether the rota’s week starts on Monday or Sunday, and check the Time zone; press Change if it is wrong.
- Press Create location. It says Location created and moves on to the next step.
While you fill this step in it is kept as a draft (Draft saved). Finish later leaves it under Drafts — not created yet on the Locations page, where Continue picks it up.
A blank site or a copy
- A blank site starts with two areas, Kitchen and Front of house, a starting set of shift types and starter checks.
- A copy of another site brings that site’s areas, positions, stations, shift types, checks and menu items; the wizard shows how many of each. It also keeps the other site’s rules: its targets, holiday rules and clock-in settings, and the parts of the app it uses. Switch on Bring the team to put its people on at the new site as well.
Steps 2 to 5
- What will this location use? Switch off any part of the app this site will not use, then press Next. You can change this at any time; see Turn parts of the app on or off.
- Which till? Choose SumUp POS Pro to connect it, or No till to add one later. See Connect a SumUp POS Pro till.
- Areas and team Set the Areas people work in, and, if you want them, Positions and Stations. See Set up areas, positions and stations.
- Targets Set the Labour target, the Clock-in zone and Holiday, then press Finish.
Steps 2 to 5 save as you go. Finish later on any of them takes you to the Locations page; the location already exists and can be finished another day.
What happens next
- The new location is in the location list in the sidebar and on the phone.
- If you are not an Admin with access to every location, you are put on at the new location so that you can open it.
- Setup appears in the sidebar for it, with what is still to do: the team, the first rota, the menu, checks and the till. See Work through the Setup checklist.
If it doesn’t work
- “No access · New location”
- You do not hold “Add locations and edit their settings”. An Admin can add the location, or switch the permission on for a Location Manager.
- “Name required”
- The location has no name. Type one under Name.
- “That draft has gone”
- The draft was deleted, or the location was already created from it. Look for the location on the Locations page.
- There is no “A copy of another site”
- It is offered only when there is a site you may copy.
