See what changed in the event log

Find out who changed what and when, look at a change before and after, and undo the kinds of change that can be undone.

Who can do this: People who hold “See the event log — every change, who made it and when”: Admins by default; a Location Manager can be given it.

WebChecked

On this page

The event log is the record of every change made in your organisation: who made it, when, and to what. It is on the web only. Nothing has to be switched on; changes are recorded as they happen.

Go to Settings, then Event log

  1. Open Settings, then Event log. The newest change is first. The line under the title says what you are looking at: one location’s name, Every location or Your locations.
  2. To see one location’s changes, pick it in the sidebar. Pick All locations for everything you may see.
  3. Read across a row: When, Who, Did, What, Which, Changed and Where. Did is one of Added, Changed, Removed, Published, Undone, Missed or More changes.
  4. To find something, type in Search events, or filter by who, what was done, what kind of thing it was, or where.
  5. Press Older under the table to load changes further back.
  6. Press a row to open it. For a change kept in full, the panel lists each field with its value Before and After. A button beginning Open goes to the thing that was changed, where it has a page.

Kept in full, or trace only

Most changes are kept in full, with the record as it was before and after. For some, only a trace is kept: that a change happened, who made it and which fields it touched. The panel says Trace only for those. Traces are listed only while All locations is picked. They are kept for six months; changes kept in full are not removed.

Pay is left out of the before and after for anyone who may not see pay at that location.

Undo a change

Who can do this: Needs “Undo changes from the event log” as well: Admins by default; a Location Manager can be given it.

  1. Open the row for the change.
  2. If it can be undone, the panel has a red button, Undo this change. Press it.
  3. It says Undone. The record goes back to how it was, and the undo is itself added to the log, marked Undone.

The button is offered only for changes to these:

  • shifts and rotas, including publishing a rota;
  • pre-shift briefings;
  • shift types and stations;
  • a person’s sign-off on a station.

Undoing also takes the permission that making the change did: undoing a shift needs “Build and edit the rota”, and taking back a published rota needs “Publish the rota”.

What a Location Manager sees

An Admin reads the whole organisation’s log. A Location Manager who has been given the permission reads the changes at the locations they work at, and sees only changes kept in full, not traces.

If it doesn’t work

There is no Event log under Settings
You do not hold the permission. An Admin can switch it on for a Location Manager; it cannot be given to a Supervisor or an Employee.
“You can’t see the event log here.”
You hold the permission, but not at the location picked in the sidebar. Pick one you work at.
There is no Undo this change button
The change is not one of the kinds that can be undone, it is itself an undo, or you do not hold “Undo changes from the event log” at that location.
“Couldn’t undo”
The line under it says why: “Can’t undo — this has been changed again since”, “Can’t undo — this has since been removed”, “This rota has shifts — remove them first”, or “You don’t have permission to…” with the permission the original change needed.
“Nothing has changed yet.”
Nothing has been recorded at this location yet.
