Record a right-to-work check

Note on a person’s record what their right to work is, when it runs out and that you have seen their documents, and find the ones still to check.

Who can do this: Admins and Location Managers by default (the “Edit staff details and where they work” permission); a Supervisor can be given it. Only an Admin can change their own.

WebChecked

On this page

Yes Chef keeps a note of the check you made: the kind of right to work, the day it runs out, and who saw the documents and when. Making the check, and keeping whatever copies you have to keep, stays your restaurant’s responsibility. This is done on the web.

Go to Rota & team, then Staff

  1. Click the person’s name and open the Employment tab.
  2. In the Employment section, pick their Right to work: British or Irish citizen, Settled status, Pre-settled status, Visa or Other.
  3. For Pre-settled status, Visa and Other, a Runs out date appears. Pick the day it ends, or leave it at No end date.
  4. When you have seen their documents, tick I’ve seen their documents.
  5. Press Save. It says Employment details saved, and the line beside the tick now says it was checked, by whom and on which day.

See who still needs checking

  1. On the Staff page, press Columns and switch on Right to work and Right to work runs out.
  2. Each person shows one of four states: Checked, Not checked (a kind is recorded and the box is not ticked), Expired (the day it runs out has passed) or Not recorded.
  3. Use the Right to work filter above the table to list one state. Click a state that is not Checked to open that person’s record at the field.

When the day has passed, the person’s Employment section also says in red that their right to work ran out, with the date.

Keeping a copy

A person’s record has a Documents tab. People with the “Manage compliance documents” permission (Admins and Location Managers by default) see Staff documents there, with an Upload button. Without that permission the tab is empty.

If it doesn’t work

The Right to work box is greyed out, and the section says “Set by your manager.”
You are looking at a record you cannot edit, or at your own. Your own employment section is set by a manager; only an Admin can change their own.
There is no Employment tab
The employment file is for the person themselves and for people who edit staff details at a site they work at. See Edit someone’s details.
There are no Right to work columns under Columns
Those columns are for people who edit staff details. A Supervisor who only sees contact details gets the list without them.
The Save button is greyed out
Nothing in the section has changed since it was last saved.
