Set someone’s pay
Set an hourly rate or a yearly salary on a person’s record, and who in the business can see what people are paid.
On this page
A person is paid one of three ways: Hourly, Salaried or Trial shift. Someone hourly has a rate. Someone salaried has a yearly salary, and the app works out what it comes to by the hour so the rota can cost their shifts.
On the web
Go to Rota & team, then Staff
- Click the person’s name and open the Details tab.
- Under Employment, pick how they are paid.
- For someone hourly, type the Hourly rate (£). For someone salaried, type the Yearly salary (£), and check Contract and Contract hours a week, because the salary is spread over those hours.
- For a salary, read the line underneath. It shows the hourly rate the salary comes to and the hours it was spread over, for example a rate followed by “40 h a week”. That rate is never typed.
- There is no save button. The change is saved by itself a moment after you stop typing.
On the phone
- Open Team, tap the person on the Roster, and tap the pencil beside their name. On their Pay tab the same sheet opens from Edit pay and role.
- Pick the Employment type.
- Type the Hourly rate, or for someone salaried the Yearly salary and, where their contract has hours, the Contract hours. The rate it comes to is shown underneath.
- Press Save changes. It says Changes saved.
How a salary becomes an hourly rate
The yearly salary is divided by 52 weeks, then by the person’s contract hours a week. Where the contract has no hours, because none were entered or it is zero hours, the salary is spread over a 40 hour week and the line says full-time week. If a salaried person has a rate from before and no salary yet, that rate stands and the line says no salary yet.
Who can see pay
- The person sees their own pay.
- People with “See and edit staff pay rates” see pay for the people at the sites they run. On the Staff page they can switch on the Paid, Pay and Salary columns from Columns.
- Everyone else gets no pay box at all, on the record, in the add-employee form or in the Staff list. An empty space is not a rate of nothing.
Several people at once
On the Staff page, tick the people, press Bulk actions and choose Set pay. Pick how they are Paid and type the £ an hour or £ a year. For a salary, the dialog lists the hourly rate it comes to for each set of contract hours among the people ticked. See Change several people at once.
If it doesn’t work
- There is no rate or salary box
- You do not have the “See and edit staff pay rates” permission for the sites this person works at.
- The rate is shown and greyed out
- You can see pay and cannot edit this person’s record. Changing a rate takes both permissions: seeing and editing pay rates, and editing staff details.
- “A salaried person’s rate is worked out from their yearly salary”
- An hourly rate was sent for someone salaried. Set their Yearly salary (£) instead, or change how they are paid to Hourly first.
- “Add a yearly salary”
- The person is salaried and has no salary yet, so there is no rate to show. Type the salary.
- “Contract hours 0–168”
- The contract hours are not a number of hours a week can hold. Correct Contract hours a week.
- The rota costs a salaried person at the wrong rate
- Check their contract hours. The same salary over fewer hours is a higher hourly rate.
