Say how a trial went and hire
Record the outcome of a trial shift, then hire the candidate, book them another trial, or close them, and what happens to their details.
On this page
Once a trial has started, it can be given an outcome: Hire, Another trial or Not this time. When it has ended with no outcome, the person who looked after it and the people who edit staff records at the site get a notice, How did the trial go?, and one reminder a day later.
Give the outcome
On the web
Go to Rota & team, then Trials
- Press Awaiting outcome to list the trials that have ended and not been decided, and open the one you want.
- Under How did it go?, mark each thing your site looks for: Yes, Nearly or No. The marks are optional.
- Type anything worth keeping in the Note box.
- Press Hire, Another trial or Not this time. It says Outcome saved.
On the phone
- Open the notice, or open Team, then Trials, then Awaiting, and tap the trial. If you looked after it, it is also on your Today screen.
- Under How did it go?, give the marks and a Note.
- Press Hire, Another trial or Not this time. It says Outcome saved.
An outcome can be changed until the person has been hired: open the trial and press Change.
After “Hire”
The candidate is marked To hire. Hiring is finished on the web.
- If you can invite staff, on the web: the add-employee panel opens straight away with their name and contact details filled in, marked From trial with the day. The Home location is the site they tried at and cannot be changed. Finish the form and press Send invite, as in Invite someone. If you close it part-way, it waits under Drafts — not invited yet on the Staff page, or press Hire on the trial again.
- If you can invite staff, on the phone: the trial says Hire sent to the inbox, with Finish on the web. Open the notice Hire — trial passed on the web and it goes straight to the form.
- If you cannot invite staff: it says Sent to whoever hires. The people who can invite at that site get the Hire — trial passed notice and finish it.
When the person accepts the invitation and joins, the candidate is marked Hired, and the trial is kept on their record for the managers who edit it. The person never sees the marks or the note. What follows for a new starter is in how training and onboarding work.
After “Another trial”
They stay a candidate. On the web the booking dialog opens for the same person; on either, Book another trial is on the trial afterwards. Their earlier trials are listed on each new one.
After “Not this time”
The candidate is closed. Their name, how to reach them, the note and the marks are deleted automatically once the time your site keeps candidates for is up. The outcome shows the day: Not this time, then “deleted” and the date. A candidate nobody ever decided about is deleted the same length of time after their last trial.
If it doesn’t work
- There is nothing under “How did it go?”
- The trial has not started yet, or it is not yours to judge. The outcome is given by the person who looked after the trial and by people who book trials at that site.
- “Couldn’t save the outcome”, with “It hasn’t started yet.”
- Wait until the trial’s start time. If they did not turn up, press Didn’t come instead.
- “That trial isn’t yours to judge.”
- You neither looked after this trial nor book trials at its site.
- “They have already been hired.”
- The person has joined. An outcome cannot be changed after that.
- “They are no longer on file.”
- The candidate was deleted, by hand or because their time was up.
- “They are staff now: their trial is part of their record.”
- A candidate who has been hired cannot be deleted from the Trials page. Their trial is kept with their staff record.
- There is no Hire button after the outcome
- You do not have the “Invite new staff” permission at that site. Someone who does has been sent the notice.
