Add people to a training track

Put one person or several on a track, choose when they start, give them a trainer and due dates, and change or remove any of it later.

Who can do this: Supervisors, Location Managers and Admins by default (the “Manage training and sign people off” permission). Employees cannot be given it.

WebChecked

On this page

A person sees a track’s trainings once they are on the track. Adding people is done on the web. A track set to take everyone in its areas fills itself, so you only add people by hand to tracks set to Chosen people.

On the web

Go to Rota & team, then Training

  1. Pick the location in the sidebar and press Add people. The button is there once the location has at least one track. The same box opens from Add people on a track in Training set-up, and from Add to a track on a person’s Training tab.
  2. Under Track, pick the track.
  3. Under People, click each person to add. Anyone already on the track is crossed out.
  4. Set Starts. It begins as today. A date in the future keeps the track under Coming up until then.
  5. Pick a Trainer, or leave it at Nobody yet. Someone you are adding cannot be the trainer.
  6. Leave Due dates on for a new starter. Switch it off for someone who has been with you a while and is only being recorded: they are then never due and never overdue. The picture under the switch shows what each of the track’s trainings comes to, with the switch on and off.
  7. Press Add. The button counts the people, for example “Add 3”. It says “3 added”.

What happens next

Each person added gets a New training notice naming the track, and the track’s trainings appear on their Training screen. With due dates on, each training’s due point is counted from the start date: see Set when a training is due.

Change a person’s trainer or dates, or take them off

Open the person from Staff and choose the Training tab. Their tracks are listed at the top.

  • Trainer. Pick a name in the Trainer column, or No trainer. It says Trainer set.
  • Dates. Press the pencil (Change dates), set Starts and the Due dates switch, and press Save. It says Dates saved.
  • Take off. Press the cross (Take off this track). It asks first and reminds you “Their record is kept”: what they were trained and signed off on stays in their history.

When people are added without you

  • A track for everyone. A track set to Everyone at this site or Everyone in these areas puts the people already there on it when it is saved, with no due dates. Anyone who accepts an invitation to the location later, or is added to one of its areas, goes on it by themselves, with due dates.
  • A new starter who began more than a week ago. When someone joins with a start date over seven days back, they are treated as existing staff getting an account: they go on with no due dates, so nothing is overdue on day one.
  • Logging a skill. Marking a skill for someone who is not on its track puts them on it, with no due dates.

If it doesn’t work

There is no Add people button
The location has no tracks yet, or you do not manage training there. With no tracks the page offers Set up training instead: see Set up a training track.
“Everyone is already on this track.”
Nobody is left to add. To change someone’s dates or trainer, open their Training tab.
A person is not in the list
The list is the active people who work at this location. Their home location, or one of their additional locations, has to be this one.
The track is not in the list
It has been switched off. Open it in Training set-up, press Edit track and switch In use back on.
“That didn’t save”
The server refused it. It takes at most 100 people at a time, and the start date has to be a real date.
