Set up a training track

Build a track on the web: choose its kind and who goes on it, then add its trainings and the skills in each.

Who can do this: Supervisors, Location Managers and Admins by default (the “Manage training and sign people off” permission). Employees cannot be given it.

WebChecked

On this page

Training is three levels deep: a track (say, “Kitchen induction”) holds trainings (“Knife skills”), and a training holds the skills a person is marked on. Tracks belong to one location and are set up on the web only.

On the web: make the track

Go to Rota & team, then Training set-up

  1. Pick the location in the sidebar. The page is headed Training set-up. Press New track.
  2. Type a Name.
  3. Choose the Kind:
    • Skills (“You write it”): you add the trainings and the skills yourself.
    • Menu (“Follows a menu”): pick a menu, and each of its categories becomes a training named “Cook & plate:” and the category, with each dish in it as a skill. It stays in step with the menu.
    • Induction (“Steps to confirm”): you write it like a skills track, and each step, once shown, also waits for the new starter’s own tick.
  4. Under Areas, leave Whole site or pick the areas the track is for.
  5. Under Who’s on it, choose Everyone at this site (it reads Everyone in these areas when you picked areas) or Chosen people. Everyone means the people there now and new starters as they join. Chosen people means nobody until you add them.
  6. Press Save. It says Track added and the track is picked in the list on the left.

On the web: add its trainings and skills

  1. With the track picked, type a name in the box that reads “Add a training, e.g. Sauces prep” and press Add training.
  2. In the training’s card, type a skill in Add a skill and press Add, or press Enter. Repeat for each skill.
  3. To bring a column in from a spreadsheet, press the clipboard button (Paste a list), paste one skill per line, and press Add. It takes up to 150 lines at a time. The message says how many were added, or Nothing new.
  4. To say what good looks like for a skill, press the page icon at the end of its row, type the standard and press Save. Whoever is training sees it when they open the skill on the phone.
  5. To rename a skill, type over its name and click away. It says Skill renamed.

When a training is due and how often it needs a refresh are set on the same card: see Set when a training is due.

Let a sign-off clear someone for a station

If the location uses stations, each skill has a station menu, which starts at No station. Pick the station the skill belongs to, then tick the box beside it. From then on, signing a person off on that skill clears them for the station, and sending the skill back for retraining takes away the clearance it gave. A clearance someone set by hand is never touched.

Change or retire a track

  • Edit. Press Edit track to change the name, kind, areas or who is on it. Widening it to everyone, or adding an area, puts the people now in scope on it. Nobody already on it is taken off.
  • Switch off. In Edit track, turn off In use. The track is marked Not in use and is no longer offered when adding people.
  • Remove a skill. Press the bin on its row. It reminds you “Records people have for it are kept”.
  • Remove a training. Press the bin on its card. This works only while nobody has a record in it.

What happens next

A track for everyone already has its people on it. For a track of chosen people, press Add people: see Add people to a training track. The track then shows on the Training page and the Skills matrix.

If it doesn’t work

“You don’t manage training at this location.”
You do not have the “Manage training and sign people off” permission at the location picked in the sidebar.
“Pick a location in the sidebar to set up its training.”
The web is set to all locations. A track belongs to one location.
Save is greyed out on a new track
The track needs a name, and a menu track needs a menu picked.
“No categories on this menu yet”
The menu you picked has no categories, so it would make no trainings. Add categories and dishes to the menu first.
“That didn’t save” when removing a training
People have records in it, or it follows a menu. Remove its skills one by one instead (their records are kept), or for a menu training turn off In use.
The tick box beside a station is missing
The skill has no station picked. Pick the station first.
