Set how long probation lasts
Set a location’s probation length and how far ahead managers are reminded, and give one person a different length or take them off probation.
On this page
Every location starts with new starters on probation for three months, and managers reminded 14 days before it ends. You can change the rule for a location, and the length for one person. The location’s rule is set on the web.
On the web: the location’s rule
Go to Rota & team, then Staff
- Pick the location in the sidebar and press New starters & reviews. The first section is Probation.
- Leave New starters on probation on, or switch it off if the location does not use probation.
- Set the Length: a number, and weeks or months. Two years is the most.
- Under Tell managers, type how many days before the end the reminder goes out, from 0 to 60.
- Check the picture on the right, Someone starting today, which shows the end date this rule gives. Press Save. It says Probation saved.
On the web: one person
Go to Rota & team, then Staff
- Open the person, choose the Employment tab and scroll to Probation.
- To give them a length of their own, change Length and press Save length. It says Length saved.
- If the chip reads Not on probation, the button is Put on probation instead.
- To take them off, press No probation. It says Taken off probation.
On the phone
The phone can put someone on probation at the location’s length, and record the review. It cannot change a length or the location’s rule.
- Open the Team tab, press the person, and choose the Details tab.
- Under Probation, press Put on probation. The button is there only for someone who is not on probation. It says On probation.
Who is on probation without anyone doing anything
- With the rule on, a new starter with a start date is on probation from that date for the location’s length. Their record shows the end date.
- Someone whose probation would already have ended before the rule came to look at them is not put on it after the fact.
- Someone with no start date shows “Probation · no start date” once they are put on it, until a start date is added.
- The form for adding an employee has its own Probation choice, so a length can be set as the person is invited.
What happens next
The reminders follow the rule: Probation review due the set number of days ahead, and Probation ends today on the day. Reminders speak only for dates that come into that window after the rule was saved, so changing it does not send a flood about reviews that were already close. Those still show as due on the person’s record and in the Staff list. Then see Record a probation review.
If it doesn’t work
- There is no “New starters & reviews” button
- The web is set to all locations, or you cannot edit staff records at this one.
- Save is greyed out
- Nothing has changed, or a number is out of range: the length is a whole number of at least one, two years at most, and the notice is 0 to 60 days.
- “Couldn’t save probation”
- The save was refused. “A probation is two years at most.” means the length is too long. “You can’t change their probation.” or “You can’t change your own probation.” means the record is not yours to change.
- There are no buttons under a person’s Probation
- They are leaving or have left, or you cannot edit their record.
