See where the team’s training stands

Find who is ready to sign off, who is overdue and whose skills need a refresh, and read the skills matrix for a location.

Who can do this: Supervisors, Location Managers and Admins by default (the “Manage training and sign people off” permission). A named trainer sees only the people they train.

On this page

The Training page answers “who needs me today”. The Skills matrix answers “who can do what”. Both are for one location at a time.

On the web: the Training page

Go to Rota & team, then Training

  1. Pick the location in the sidebar. With more than one area, a menu at the top narrows the page from All areas to one.
  2. Read the four counts: Ready to sign off, Overdue, Refresh due and Starting (people whose track starts in the next week). Click a count to show only those. Click it again to go back.
  3. Under In training now, people are grouped by training, most urgent first. Each row has the person’s progress, their status, when they are due, and a chip such as “2 ready” when skills are waiting for sign-off.
  4. Coming up lists trainings that have not opened yet, with when each opens.
  5. Click a person to open their record at that training. Click a training’s heading to open it for everyone on it.

Where the location has stations, a Capability vs demand table follows. For each station it sets the number of people cleared against the shifts scheduled in the last 7 days, and flags Nobody cleared or Thin cover.

On the web: the Skills matrix

Go to Rota & team, then Skills matrix

  1. Every person on a track is a row and every training is a column, grouped under its track. A cell reads signed-off skills out of the total, such as 3/8: green when the training is finished, amber once anything is under way. A dot means the person is not on that track.
  2. The bottom row, Signed off, counts how many people have finished each training. A zero in red is a training nobody has finished.
  3. Narrow it with All tracks and All areas at the top. With more than six people there is a Search people box.
  4. Click a name to open that person’s record, or a training’s name to open it for everyone.

On the phone

The phone has the overview but not the matrix.

  1. Open the Team tab and choose Training. The section is there for people who manage training at the location.
  2. Three figures head the list: Skills ready, Overdue and To refresh.
  3. In training now has a card for each training with its people, each showing when they are due and how far along they are. Coming up and Refresh due follow.
  4. Press a person to open their record. Everyone at the bottom opens the full list of people at the location, for anyone not in training yet.

What you are told without looking

If you manage training at a location, your inbox gets Ready to sign off when a trainer flags skills, Behind on training when someone passes a due point, and Skills due a refresh when refreshes come round. A named trainer gets the last two for their own people. How due points work is in Set when a training is due.

If it doesn’t work

“You don’t manage training at this location.”
You have neither the “Manage training and sign people off” permission here nor anyone you are the named trainer for. The Skills matrix needs the permission: being a trainer is not enough.
“No training yet” with a Set up training button
The location has no tracks. See Set up a training track.
“Nobody is in training.”
There are tracks, but nobody on them is part-way through or about to start. Press Open skills matrix to see who is signed off, or Add people to put someone on a track.
There is no Training section on the phone’s Team tab
You do not manage training at your location. If you are someone’s trainer, they are on your own Training screen, under Me.
Someone is missing from In training now
They have finished everything open to them, or their trainings have no due point and nothing is under way, which lists them under Coming up.
