Record a probation review
When a new starter’s probation is ending, look at how it has gone and record the outcome: passed, extended to a new date, or ended.
On this page
Probation runs from a person’s start date for the length their location sets. Before it ends you are reminded, and the review is recorded in one step. Yes Chef shows you the facts and records your decision: it gives no score and makes no recommendation.
On the web
Go to Rota & team, then Staff
- Open the person and choose the Employment tab. Scroll to Probation. The chip says where they stand, for example “Probation · ends 14 Jan”, with when they started, the length, and whether it has been extended.
- Read How it’s going. It gathers their training track by track (skills signed off, and anything overdue), their attendance since they started (shifts, lates and absences), their onboarding checklist, and the trial shift they were hired from if there was one.
- Beside Review, choose Passed, Extend or Ended.
- For Extend, pick a New end date later than the current one and type a Reason. Both are needed. For the other two, a Note is optional.
- If the person should be able to read what you wrote, switch on the share switch, which reads “Share with” and their first name. Left off, the note is for managers only.
- Press Record passed, Extend or Record ended. It says Probation passed, Probation extended or Probation ended, and the outcome is added to the history under the section.
On the phone
- Open the Team tab, press the person, and choose the Details tab. Scroll to Probation.
- Press Record review. A sheet headed Probation review opens.
- Choose Passed, Extend or Ended, fill in the New end date and Reason for an extension or an optional Note, and set the share switch.
- Press Record passed, Extend or Record ended.
What each outcome does
- Passed: their record reads “Passed” with the date. Probation is over.
- Extend: probation now ends on the new date, and you are reminded again ahead of it. A probation can be extended six times at most, and each extension is kept in the history.
- Ended: their record reads “Did not pass” with the date.
When you are reminded
The people who can edit the person’s record get a Probation review due notice ahead of the end date (a fortnight, unless the location has changed it) and Probation ends today on the day, at 9am. The person is never sent either. On the web, the Staff list has Probation and Probation ends columns, so you can sort for whose review is next. To change the length or the notice, see Set how long probation lasts.
What the person sees
On the web, under My profile, they can read their own probation: where it stands, its dates and its history. They see a note only where you shared it. They never see How it’s going.
If it doesn’t work
- There is no Review row, or no Record review button
- They are not on probation (the chip reads Not on probation, or shows an outcome already recorded), they are leaving or have left, or it is your own record.
- The Extend button is greyed out
- An extension needs a new end date after the current one, and a reason.
- “The new end date can’t be in the past.”
- The probation ended some time ago. Extend it to a date from today on.
- “A probation can be extended six times at most.”
- Record it as passed or ended.
- “You can’t change their probation.” or “You can’t change your own probation.”
- You cannot edit this person’s record, or the record is yours. Someone above you records your review; an Admin can record their own.
- The chip reads “Probation · no start date”
- There is no start date on their record to count from. Add one to their record and the end date appears.
