Log a service

Record that a piece of equipment was serviced, who by and what it cost, so its next service date moves on.

Who can do this: Supervisors, Location Managers and Admins by default (the “Manage equipment and service records” permission). An Employee can be given it.

On this page

A service is the scheduled visit: the annual gas check, the fridge engineer’s routine call. Logging one adds it to the piece’s history and sets the piece’s last-serviced date. Something that broke and was fixed is a repair, which is recorded separately.

On the web

Go to Checks, then Equipment

  1. Click the piece of equipment to open its page.
  2. Press Log service. The form is headed Log service record.
  3. Set the Date of the service. It starts on today.
  4. Fill in Vendor (who did it), Cost (GBP) and Notes if you have them. All three are optional.
  5. Press Log service. It says Service logged, and the service is the newest row under Service history.

On the phone

  1. Open Equipment, from Registers at the foot of Checks or from Me, and press the piece.
  2. Press Log at the top. The Log service sheet opens.
  3. Set the Date. It cannot be later than today.
  4. Fill in Vendor, Cost and Notes if you have them.
  5. Press Log service. It says Service logged.

What happens next

The piece’s last-serviced date becomes the date you entered, and its next service is counted from there. Your name is kept on the record as the person who logged it.

A service record cannot be changed or removed once it is logged. To record what a breakdown cost, see Record a repair.

If it doesn’t work

“Date is required”
The date box is empty. Pick the day of the service.
On the phone: “Couldn’t log the service” with “You’re offline”
Logging a service needs a connection. What you typed is still in the sheet: press Log service again when you have signal.
On the phone: the Cost box goes red and the button will not press
The cost is not a sum of money. Type pounds and pence only, like 184.50.
On the phone: there is no Log button
The phone is offline, or the piece has been archived.
