Review the incident log

See every incident logged at a location, find the ones not finished or with an action still open, and export the list.

Who can do this: Supervisors, Location Managers and Admins by default (the “See every check and its history” permission). An Employee can be given it.

WebChecked

On this page

The incident log is every record started by hand at one location, newest first. It is on the web only.

On the web

Go to Checks, then Incident log

  1. Pick the location at the top if it says to.
  2. Read the line under the title: how many are logged, how many are still to finish, and how many have an open action.
  3. Narrow the list with All, To finish or Open action.
  4. Click a row. The record opens in a panel at the side, with what was written, who completed it and when, and any changes made afterwards.

What the columns say

  • Logged is when the record was started. Type is the form that was used. Logged by is who started it.
  • Status is To do, Completed, or Not finished for a record that was started and not completed by the end of that day.
  • Summary is what was recorded, in a line.
  • Actions shows how many actions raised from the record are still open, or how many are done.
  • Edited marks a record that was changed after it was completed.

The table has more columns switched off to begin with, such as Completed by, Completed at, Note and Photos. The table’s export saves the list as a file.

Follow up the actions

An action raised from an incident is a task. It is put on the location’s Corrective actions board in Tasks, with a due day and, if one was chosen, the person it was given to.

  1. Press Open action above the table to see only the incidents with one still to do.
  2. Open the record. Under Actions each one is marked Open, Overdue or Done. An action is overdue from the day after its due day.
  3. Click an action to open its task. When the task is completed, the action is done.
  4. To add another, press Raise action. It says Action raised. See Raise an action from a check.

Raising an action on a completed record is for the person who completed it and for people with the “Run the day’s checks” permission. A record takes 20 actions at most.

If it doesn’t work

“Nothing logged yet.”
Nobody has started a record at this location. See Log an incident.
The page asks you to pick a location
The log is kept one location at a time. Choose one in the location picker.
An action does not open when you click it
You can open the task only if you can see the board it is on, or it was given to you. Ask a manager to open it.
An old incident is missing
The page shows the newest 500 records at the location. Older ones are still kept, and are in the inspector pack for their dates.
