Record a repair

Write down something that was fixed, who fixed it and what it cost, and attach the invoice, on the web or on the iPhone.

Who can do this: Supervisors, Location Managers and Admins by default (the “Manage equipment and service records” permission). An Employee can be given it.

On this page

A repair is anything at the location that was fixed: a door seal, a leaking tap, a plumber’s call-out. It does not have to be about something on the equipment list. You record it once it has been done, and you can add the cost later if the bill has not come.

On the web

Go to Checks, then Repairs

  1. Pick the location and press Add repair. The same button is in the Repairs section of a piece of equipment’s own page, where the repair is already set to that piece.
  2. Say what was fixed under What was repaired.
  3. Set the Day it was done. It starts on today and cannot be a day that has not come.
  4. Type the Cost in pounds. Leave it empty if you do not know yet: the form marks it Cost to come.
  5. Under Equipment, choose the piece it was about, or leave it on Not on the list.
  6. Fill in Who did it and Note if you want.
  7. Under Invoices, press Add invoice and choose the file, or drop it on the box. Photos and PDFs, up to four, each up to 10 MB.
  8. Press Add repair. It says Repair added and the repair is in the list.

On the phone

  1. Open Equipment, from Registers at the foot of Checks or from Me.
  2. For a repair to something on the list, press the piece, then Add beside Repairs. For anything else, press Repair at the top of the Equipment screen.
  3. Fill in What was repaired, the Day and the Cost. An empty cost is marked Cost to come.
  4. Under Invoices, press Add invoice and choose Camera to photograph the bill, or Photos to pick one you have.
  5. Fill in Who did it and Note if you want.
  6. Press Add repair. It says Repair added.

On the phone a piece’s repairs are listed on its screen. The full list for the location, and changing or removing a repair, are on the web.

What happens next

On the web, the line under the page title counts the repairs still waiting for a cost or an invoice, and Cost to come and No invoice above the table show only those. To fill one in, see Change a repair or add its invoice.

If it doesn’t work

“Say what was repaired”
The first box is empty.
“That day hasn’t come”
The day is in the future. A repair is recorded once it has been done.
“Cost isn’t a sum of money”
Type pounds and pence only, like 184.50 or £1,240. Leave it empty if you do not know.
“A photo or a PDF”, “Files up to 10 MB” or “Up to 4 invoices”
The file is the wrong kind, too big, or one too many. The repair itself can still be saved.
On the phone: “Couldn’t add the repair” with “You’re offline”
Adding a repair needs a connection. What you typed stays on the screen.
On the phone: “Repairs here aren’t yours to record.”
You do not have the “Manage equipment and service records” permission at that location.
