How tasks work
Boards, lists and tasks explained: where they are on the web and the iPhone, who can see and change what, and what each guide covers.
Tasks is for the loose jobs that are not a shift and not a daily check: a repair to chase, a dish to develop, something to buy. They are kept on boards, so everyone can see what is waiting, who has it and what is finished.
Boards, lists and tasks
- A board is one subject, such as Repairs. It belongs to one location or to the whole business, and is for everyone or for managers only. See Create a board.
- A list is a column on the board, a stage the job is at. A new board has To do, Doing and Done. One or more lists can be a done list, where finished tasks collect. See Set up the lists on a board.
- A task is one job, shown as a card in a list. It has a title, and can have notes, people, a due day, an urgent mark, labels, a checklist, links and comments.
Where it is
On the web, Tasks in the sidebar has two pages: Boards, and My tasks for the open tasks with your name on. On the iPhone, open Me, then Tasks: your tasks are at the top and the boards below. While you have open tasks, the three due soonest are also on Today, or Hub for supervisors and managers.
The web shows a board as columns side by side and lets you drag cards. The iPhone shows one list at a time. Day-to-day work can be done on either. Setting up a board’s lists and labels, and archiving a board, are done on the web.
Who can do what
- Everyone who can see a board can add tasks to it and open, change, move, tick, comment on and archive its tasks. This is the “See task boards, add tasks and comment” permission, which all four levels have by default.
- Anyone assigned to a task can open and work that task, even on a board they cannot see.
- People who manage boards can also create, rename and archive boards, change their lists and labels, delete tasks, and delete other people’s comments. This is the “Create and edit boards and lists, and delete tasks” permission: Admins and Location Managers by default, and a Supervisor can be given it. A board for managers is seen only by these people.
Permissions are held per location. A board that belongs to one location follows the permissions people have there.
Done, archived and deleted
- Done: ticked. The task stays on the board in a done list, struck through, and can be reopened.
- Archived: put away, off the board and off everyone’s own list, and kept. It can be restored.
- Deleted: gone for good. Only people who manage the board can delete.
