Assign a task

Put one or more people on a task so it shows in their own list and they are told about it, and take someone off again.

Who can do this: Anyone who can open the task: everyone who can see its board, and anyone already assigned to it.

On this page

A task can have several people on it, or nobody. The people you can choose are the ones who can see the task’s board.

On the web

Go to Tasks, then Boards

  1. Open the board and press the task’s card. It opens in a panel at the side.
  2. Under People, press Person.
  3. Press a name. On a long list, type in Search first. It says Assigned, with the person’s name. Press more names to add more people.
  4. Click away to close the list. The people are shown under People and on the card.

On the phone

  1. Open Me, then Tasks, and open the task.
  2. Press the People row. It reads None when nobody is on the task.
  3. Press a name in the sheet. It says Assigned. Press more names to add more people.

A task you add from the plus at the top of the Tasks screen is given to you unless you untick On me. See Add a task.

What happens next

Each person you add gets a notice in their inbox, and on their phone if notifications are on, saying who assigned it. The task appears in their own tasks. From then on they are told about comments on it, reminded on its due day, and can open it even if they cannot see the rest of the board. Putting yourself on a task tells nobody.

Take someone off

Open the same list and press their name again. It says Unassigned. The task leaves their own list.

If it doesn’t work

The person is not in the list
They cannot see this board. A location’s board lists people who have the tasks permission at that location; a managers’ board lists only those who can manage boards there. Someone whose account is switched off is not listed either.
“… can’t see this board”
The person lost access to the board after the list was drawn, for example because the board was changed to managers only. Choose someone else, or ask whoever manages the board to open it to everyone.
“A task takes 50 people at most”
The task already has 50 people on it. Take someone off first.
Someone is shown on the task but cannot be picked
They were put on it before the board became managers only. They stay on the task and can still open it.
