Use labels on a board

Give a board its own labels, put them on tasks, and filter the board to the tasks that carry them.

Who can do this: Anyone who can open a task can put the board’s labels on it. Making, renaming and removing labels takes the “Create and edit boards and lists, and delete tasks” permission: Admins and Location Managers by default; a Supervisor can be given it.

Web and iPhoneChecked

On this page

Labels sort a board’s tasks by kind: “Kitchen”, “Front of house”, “Waiting on supplier”. Each board has its own set, of up to 20. A label is a name; it has no colour of its own.

Set up the board’s labels

On the web

Go to Tasks, then Boards

  1. Open the board and press the three dots at the top right.
  2. Choose Labels.
  3. Type a name in the dashed field that says Label and press Enter or the plus. Repeat for each label.
  4. To rename one, type over its name. To remove one, press the bin beside it.
  5. Press Save. It says Labels saved. Nothing changes until you save.

A label you remove stops showing on the tasks that carried it. If you can manage the board, you can also make a label from inside a task: under Labels, press the dashed Label, type the name and press Enter. It joins the board’s labels and goes on that task.

Labels are set up on the web. The iPhone puts existing labels on tasks.

Put a label on a task

On the web, in a task

  1. Open the task.
  2. Under Labels, press a label. It says Label added. Press it again to take it off: Label removed.

On the phone

  1. Open the task and press the Labels row.
  2. Tick the labels that apply. It says Label added or Label removed each time.

Filter a board

On the web, a board that has labels shows a Labels button at the top. Tick one or more labels to see only the tasks carrying any of them; choose All labels to see everything again. Beside it, Mine narrows the board to tasks you are on. The two can be used together.

If it doesn’t work

A task has no Labels row or section
The board has no labels yet. Someone who can manage the board sets them up on the web.
“There are two labels called …”
Two labels on a board cannot share a name, whatever the capitals. Rename one.
“A board keeps 20 labels at most”
Remove a label you no longer use. A label’s name holds 24 characters.
The board looks empty
A filter may be on. Check Mine and Labels at the top of the board.
