Archive, restore or delete a task

Put a task away without losing it, bring an archived task back to its board, or delete one for good.

Who can do this: Anyone who can open a task can archive and restore it. Deleting takes the “Create and edit boards and lists, and delete tasks” permission: Admins and Location Managers by default; a Supervisor can be given it.

Archiving takes a task off its board and out of everyone’s own list, and keeps it with its notes, checklist and comments. Deleting removes it for good. Archive unless you are sure.

Archive a task

On the web

Go to Tasks, then Boards

  1. Open the board and press the task’s card.
  2. Press the three dots at the top of the panel and choose Archive.
  3. It says Task archived and the panel closes.

On the phone

  1. Open the task and press the three dots at the top right.
  2. Press Archive. It says Task archived and takes you back.

To archive every finished task on a board at once, use Clear done on its done list: see Set up the lists on a board.

Restore a task

On the web, from the board

  1. Open the board and press the three dots at its top right.
  2. Choose Archived tasks. They are listed newest first.
  3. Press Restore beside the task. It says Task restored. To read it first, press its title.

The task goes back where it was. If its list has since been archived, it goes to the foot of the board’s first open list, or first done list if the task was done.

The iPhone has no list of archived tasks. If you reach an archived task there, from a notice in your inbox for example, it shows Archived at the top with a Restore button.

Delete a task

  1. Open the task, press the three dots and choose Delete.
  2. It asks Delete this task? with the task’s title. Press Delete. It says Task deleted.

Delete on the phone

  1. Open the task, press the three dots and press Delete.
  2. It asks Delete this task? Press Delete. It says Task deleted.

If it doesn’t work

There is no “Delete” in the menu
You do not have the “Create and edit boards and lists, and delete tasks” permission for this board. You can still archive the task.
“The board has no lists to put it back on”
Every list on the board has been archived. Someone who can manage the board adds a list first; then restore the task.
“Nothing archived”
No task on this board is archived. If you are looking for a finished task, look in the done list and press More at its foot for older ones.
