Log an incident
Record an accident, a complaint, a pest sighting or a near miss as it happens, on the web or on the iPhone.
An incident is a check that nobody schedules: a form you start by hand when something happens. The Log button lists the forms your restaurant has set up to be started this way, such as an accident report or a pest sighting log.
On the web
Go to Checks, then Incident log
- Pick the location at the top if it says to. The incident log is kept one location at a time.
- Press Log and choose the form. The same button is on the Checks Today page.
- The record opens in a panel at the side, with the time it was started beside Logged. Fill in what the form asks for.
- Press Mark complete. The record is in the incident log with the status Completed.
On the phone
- Open Checks. If it is not on the bar, it is the Checks row under Me.
- Press Log at the top and choose the form.
- Fill it in the same way as any other check. See Do a check on the phone.
- Press Mark complete. It says Check done.
The phone has no incident log to look back through. That is on the web: see Review the incident log.
If you started one by mistake
Open the record and press Discard. It says Record discarded and the record is gone. Only a record that has not been completed can be discarded, and only by the person who started it or someone with the “Run the day’s checks” permission. A completed record is never removed.
What happens next
A record you start and do not finish stays in the log as To do until the end of the day at that location. After that it shows Not finished. Someone with the “Run the day’s checks” permission can still open it on the web and press Fill in this missed check.
If something needs doing about the incident, raise an action from the record. See Raise an action from a check.
If it doesn’t work
- There is no Log button
- This location has no forms that are started by hand. Someone with the “Create and edit checks” permission can add them on the web, under Checks, from Ready-made checks: the ones marked On demand.
- The form you need is not in the list
- The list is only the checks set up at this location to be started by hand. Ask whoever manages your checks to add one.
- “Couldn’t start the record” with “That check can’t be started by hand”
- The form was archived or changed to a schedule while your list was open. Reload and pick again.
- On the phone: “Not on this phone”
- You are offline and this form was never loaded on this phone. It opens when you are back online.
