Produce the inspector pack
Put a location’s check records for a range of dates into one document you can print or save as a PDF.
On this page
The inspector pack is the records Yes Chef holds for one location over the dates you choose, laid out on A4 so that someone can read them without the app. It is made on the web. Nothing is sent to anyone: you print it or save it yourself.
On the web
Go to Checks, then History
- Pick the location and press Inspector pack at the top of the page. The Inspector pack entry in the sidebar takes you to the same page.
- Under Dates, press Last 7 days, Last 4 weeks or Last 3 months, or set the two dates yourself. A pack covers 400 days at most.
- Under Checks, leave All checks on, or switch it off and tick the ones you want. Forms that are started by hand are marked Incident.
- Leave Photos on to print the photos taken with each record, up to six a record. Switched off, the pack says how many there were without showing them.
- Press Open pack. The pack opens in a new tab and counts the records as it loads them.
- Press Download PDF / Print. Your browser’s print window opens: print it, or choose to save as a PDF there.
What is in it
The cover has the location, the business, the period, when the pack was made and by whom, which checks were chosen, and the counts: checks due, done on time, done late, missed, failed readings, actions raised and still open, and incidents logged. Then, in order:
- Missed and late checks. Missed checks are listed, not left out.
- Failed readings. Each reading outside its limit, with the action raised for it if there was one.
- Records by day. Every check in the period, with what was recorded, when and by whom.
- Incidents. The records started by hand from Log.
- Corrective actions. What was raised, who it was given to, when it was due and whether it is done.
- Documents on file. Each document with its type, owner, issue date and how its expiry stands.
- Equipment and servicing. Each piece with its services, its interval and when the next is due.
A record that was changed after it was completed is marked Edited, with who changed it, when, and the value before and after. The time a check was completed comes from the system clock and cannot be typed.
Who made it changes what is in it
The documents section is filled in only if the person making the pack has the “Manage compliance documents” permission, and the equipment section only if they have “Manage equipment and service records”. Otherwise that section says it is not included, and names who made the pack. For a full pack, a Location Manager or an Admin should make it.
What happens next
The pack is made afresh each time and is not stored in Yes Chef. To keep the one you made, save the PDF. To look at one incident on screen instead, see Review the incident log.
If it doesn’t work
- “Dates out of order”
- The first date is after the second. Swap them.
- “400 days at most”
- The range is too long for one pack. Make two packs that follow on from each other.
- Open pack is greyed out
- The dates are wrong, or All checks is off and nothing is ticked.
- “Open a pack from the check history”
- The pack’s page was opened without its dates. Go back to History and press Inspector pack.
- “No access to this site’s checks”
- You cannot see checks at that location. Ask someone who can to make the pack.
- The photos are not in the pack
- Photos was off when the pack was opened: its cover then says “Counted, not shown”. Open it again with Photos on. A record prints six photos at most.
