How checks work

The ideas behind Checks in one page: a check and its records, schedules and windows, who can do what, and where everything is on the web and the phone.

Who can do this: Everyone. Some pages are only for people with a Checks permission, as noted.

Web and iPhoneChecked

On this page

Checks is where a restaurant records the things it has decided must be checked: opening and closing lists, fridge and cooking temperatures, deliveries, cleaning. Yes Chef asks for each check at its time, keeps what was recorded, by whom and when, and shows what was missed.

A check, and its records

A check is the form: its name, the fields it asks for, when it is due and who it is for. Each time it falls due, Yes Chef makes a record of it for that day, and that record is what someone fills in. Editing a check changes what is asked from then on; records already completed stay as they were.

Doing checks

Most checks are done on the phone, during a shift. They can also be done in the web app, or on a tablet shared by the kitchen, where each person gives a PIN.

On time, late and missed

A check with a time is due, then overdue, then missed. A check with a window is open, then closing, then missed the moment the window shuts. A missed check can be filled in late by someone who runs the day’s checks, and is always shown as late.

When a check finds a problem

An out-of-range reading or a fail is recorded as it was found. The follow-up is an action: a task, linked to the check, saying what needs doing. Raise an action from a check.

Looking back

Who can do what

  • Do a check that is open: anyone at the location.
  • “See every check and its history” opens the Checks pages on the web and History on the phone. Supervisors, Location Managers and Admins have it by default; an Employee can be given it.
  • “Run the day’s checks” lets someone fill in missed checks, correct other people’s and change who a day’s check is for. Same defaults.
  • “Create and edit checks” and “Set up a shared tablet for checks, and end one”: Location Managers and Admins by default; a Supervisor can be given either.

Where things are

On the web, the Checks section of the sidebar has Checks overview (what needs doing now, and the score), Today, History, Scores, Your checks and Ready-made checks, alongside the incident log, equipment, repairs and documents covered under Incidents and equipment. Most pages are for one location at a time: pick it in the sidebar.

On the phone, checks are on the Checks tab, or under Shift checks on Today for people without that tab. Checks are created and planned on the web only.
