Create a check

Write your own check on the web: what it asks for, when it is due and who it is for. Editing one works the same way.

Who can do this: People with the “Create and edit checks” permission: Location Managers and Admins by default; a Supervisor can be given it.

Checks are created and edited on the web only. What a check should ask for, and how often, is for your restaurant to decide from its own food safety plan. Yes Chef records what you set up. If a standard check will do, start from a ready-made one instead.

On the web

Go to Checks, then Your checks

  1. Press New check. The editor opens in a panel, with a picture of the check as it will look on the phone beside the form.
  2. Under Basics, give it a Name. A Description is optional and is shown as instructions on the check. Under Areas, pick the parts of the site it belongs to, or leave it for all areas.
  3. Under Fields, press Add field for each thing to record. Give the field a label and pick its kind (see below). Use the arrows to reorder.
  4. Under Schedule, choose how often it is due. See Choose when a check is due.
  5. Under Who can do it, leave Everyone or choose Specific staff. See Choose who a check is for.
  6. Press Save. It says Check created.

The kinds of field

  • Pass / fail Two buttons. Turn on Yes / No for a plain question where neither answer is a failure. Otherwise you can ask for a Note on a fail, and set Action when failed to Off, Offer or Require.
  • Number A reading, with a Unit, Min, Max and Decimals. A reading outside the min and max is recorded as out of range.
  • Short text A line of writing, with an optional Placeholder hint.
  • Photo and Signature Tick Required if the check must not be completed without it. A signature is drawn in the web app; the phone app cannot take one.
  • Tick list A list of items to tick. Type an item and press Enter, or paste a whole list. Options: Every item ticked or flagged, Staff can add items and Comment on a flagged item.
  • Table Rows and columns, for things like a delivery or a cooling log. Add the Columns, any Starting rows, and the Fewest rows that must be filled.

Edit a check

On Your checks, switch to List and press Edit on the row, or on the plan open the check’s menu and press Edit check. Change it and press Save. It says Check saved. Records already completed keep the answers they were given.

Stop a check

Press Remove from plan. The check stops being asked for and shows as Not placed; its past records stay in History. Put back starts it again.

If it doesn’t work

Save is greyed out, with a message beside it
The message says what is missing: Name is required., All fields need a label., Add at least one time. or Select at least one day.
There is no Your checks page
You do not have the “Create and edit checks” permission at this location.
“Discard unsaved changes?”
You closed the panel with changes not saved. Press Keep editing to go back, or Discard to lose them.
