Choose who a check is for
Leave a check open to everyone, or name the people it is meant for by area, position, training or by hand.
Every check has a Who can do it section in its editor. It says who the check is meant for. It is set on the web.
On the web
Go to Checks, then Your checks
- Open the check for editing and go to Who can do it.
- Leave Everyone, or press Specific staff.
- With Specific staff, narrow it down. Under Groups pick areas, Managers or Staff; under Positions pick positions. Under Required training pick the Stations or Trainings someone must have: any one of them is enough.
- Tick the people in the list, or search for a name. The picture above the list counts who can do the check and who you have picked.
- Press Save.
For one day only
Open a check that is still to do from Today. The panel shows Who’s on during this check, from the rota, and Preferred staff. Change the preferred staff there and press Save. It says Cover saved, the check is marked Overridden for this check and the check’s usual list is left alone, unless you tick the box to also save it as the default for future checks. If nobody is on, Add shift for this check opens the shift editor for that time.
What the choice does, and does not do
The people picked are shown on the check as preferred staff and in History under Assigned to. It does not lock the check: anyone at the location who can open it can still complete it, and the record says who did. When a check falls due, the notice goes to the people on shift at the location at that moment.
If it doesn’t work
- Someone is missing from the list
- They do not have the station or training set under Required training, or they are outside the groups and positions picked. Clear a requirement, or give them the training first.
- After saving it says some staff were removed: “They no longer meet the required training for this check.”
- Someone you had picked does not have a station or training the check now requires, so they were taken off the list when it was saved. Change the requirement, or give them the training, and pick them again.
- “Add staff to this location first.”
- The location has no staff yet, so there is nobody to add a shift for. See Invite someone.
