What on time, late, overdue and missed mean
The states a check moves through, the exact times it turns overdue or missed, and who is told at each point.
On this page
There are two sorts of check, and they run to different rules. A check by the clock has a time. A check by part of the day has a window that opens and shuts. Which sort a check is depends on its schedule: see Choose when a check is due.
A check by the clock
Take a fridge check set for 09:00. (A per-shift check works the same way, except that it stays due until the shift ends rather than for half an hour.)
- Before 09:00 it is To do, and the row says how long until it is due.
- 09:00 to 09:30 it is Due now. Everyone on shift at the location gets a notice when it falls due. Done in this half hour, or before it, the check is on time.
- From 09:30 it is Overdue. It can still be done by anyone, and is recorded as late.
- At 09:45, if it is still not done, the people on shift who run the day’s checks are sent a notice. If none of them is on shift, it goes to the Admins.
- At 10:45 it is Missed.
A check by part of the day
Take an opening checklist open from 07:00 until the doors open at 09:00.
- Before the window it is To do and says when it opens.
- While the window is open it is Open and says when it is open until. Everyone on shift gets a notice when it opens. Done at any point in the window, it is on time.
- In the last stretch it is Closing, and the people on shift get one reminder. The last stretch is the final quarter of the window, never less than 15 minutes and never more than 24 hours: half an hour before the end of a two-hour window, the day before for a week or a month.
- When the window shuts it is Missed at once. A window is never overdue.
What missed means
Nobody recorded the check in time. Everyone who can see the location’s checks gets a notice. From then it can only be completed by someone with the “Run the day’s checks” permission, and it is recorded as Done late, never as done on time. See Fill in a missed check.
How each ends up in the records
- On time shows as Done, with the time and who did it.
- Late covers two cases. A check completed while overdue shows as Done with the time it was really done, and the score counts it as late. A check filled in after it was missed shows as Done late.
- Missed stays Missed unless someone fills it in.
These three are what the score counts, and what History filters by.
The line at the top of Today
The web’s Today page sums the day up in a line such as “2 of 12 done · 1 missed · 3 waiting · 6 to do”. Done includes done late. Waiting is anything that needs someone now: due, overdue, or a window open today. To do is still to come.
