Upload a document

Keep a certificate or a report on file against the location, a person or a piece of equipment, with the date it runs out.

Who can do this: Location Managers and Admins by default (the “Manage compliance documents” permission). A Supervisor can be given it; an Employee cannot.

On this page

Documents is where a location keeps its paperwork: a gas safety certificate, a pest report, someone’s food hygiene certificate. Each has an owner and, if you give it one, an expiry date. Documents are uploaded on the web; the iPhone app can show and open them.

On the web

Go to Checks, then Documents

  1. Pick the location and press + Upload document.
  2. Press Choose file and pick the file from your computer.
  3. Give it a Title, for example “Annual HACCP Review 2026”.
  4. Choose the Document type: HACCP, PAT, EICR, Food Hygiene, Allergen Training, Pest Report, Gas Safety, Servicing or Other.
  5. Under Owner, say what it belongs to: Staff and then the person, Location for the site as a whole, or Equipment and then the piece.
  6. Fill in the Issue date and the Expiry date if the document has them.
  7. Press Upload document. It says Document uploaded and the document is in the table.

From a piece of equipment

A piece of equipment’s own page has a Documents section with an Upload button. The form is the same, with the owner already set to that piece.

Replace or delete a document

A document cannot be edited after it is uploaded. To replace a certificate that has been renewed, upload the new one, then delete the old one if you do not want to keep it.

To delete, press the bin at the end of the row and confirm. It says Document deleted.

What happens next

The table sorts by Status, so anything expired or expiring is at the top. Press Download on a row to open the file. See See which documents are expiring.

If it doesn’t work

“Please pick a file”
No file has been chosen yet.
“Title is required”
Type a title before you upload.
“Please select an owner”
You chose Staff or Equipment and have not picked the person or the piece.
“Couldn’t upload the file”
The file did not reach Yes Chef. Check your connection and choose it again.
There is no Documents page in the sidebar
You do not have the “Manage compliance documents” permission at this location. An Admin can give it to a Supervisor or a manager.
