Answer a meeting invitation
Say Going or Can’t to a meeting you have been invited to, change your answer, and see the agenda and who else is coming.
On this page
When someone invites you to a meeting you are told in your inbox, and on your phone if notifications are on. The meeting then sits at the top of Messages until it is over.
On the web
- Open Messages. Above the chats, under Meetings, is a card for each meeting waiting on your answer, with its day, times and title.
- Press Going or Can’t on the card.
- If you pressed Can’t, a line opens for a few words of why. It is optional. Type it and press Save.
- To read the agenda first, press the card. The meeting opens in a panel with Details, People and Notes, and the same two keys at the top.
On the phone
- Open the Messages tab, or Today. A meeting waiting on your answer is a card with its day, times and title. Tapping the notification opens the meeting itself.
- Press Going or Can’t.
- If you pressed Can’t, you can type a few words of why in the line that opens. It is optional.
- Tap the card to open the meeting and read its agenda, files and people.
What happens next
- The key you pressed stays lit: green for Going, red for Can’t. The next time you open Messages the card has become one line, such as “Tue 15:00 · Winter menu briefing · Going”.
- If you said Can’t, the organiser and any co-hosts are told, with your reason if you gave one. Other guests see your answer but not your reason.
- An hour before it starts you get a reminder, unless you said you can’t make it.
Change your answer
Open the meeting and press the other key. You can change your answer until the meeting ends.
If it overlaps something of yours
Under the keys, the invitation tells you if the meeting overlaps one of your published shifts (with the shift’s times), your time off, a time you are marked unavailable, or another meeting. You can still say Going: nothing is blocked.
See who else is coming
Open the meeting and press People. Everyone invited is listed under Going, Can’t and No answer. After the meeting, anything the hosts send is under Notes: see Send meeting notes.
If it doesn’t work
- There are no Going and Can’t keys
- The meeting has ended or been cancelled, so it can no longer be answered. What you said is shown in their place.
- “You’re not invited”, or the meeting has gone from your list
- You were taken off the meeting, or you no longer work at its location. You will have been told with a notice that says No longer invited.
- “Reason up to 140 characters”
- Shorten the reason.
- You answered, and you have been asked again
- The meeting was moved to a new day or time. Answer again for the new time.
