Set the messaging rules
Decide whether people can message colleagues at other locations, and how long message text is kept, for the whole business.
There are two rules, and they apply to every location in the business. They are set on the web only.
On the web
Go to Messages
- Press the cog at the top of the list of chats (Messaging rules).
- Set Message across locations. Off, people can message only those they share a location with. On, anyone in the business can message anyone else.
- Under Keep message text, choose For good, 90 days, 180 days or 365 days.
- Press Save. It says Rules saved.
What the rules change
- Message across locations changes who appears when someone starts a chat or adds people to one. Admins who cover every location can always message anyone, and be messaged by anyone, whichever way this is set. Chats that already exist are not closed when you switch it off.
- Keep message text starts as For good. With a number of days chosen, messages older than that are deleted, once a day.
Photos, videos, files and voice messages have their own clock, which this setting does not change: 30 days unless kept. See Keep a photo or file.
If it doesn’t work
- There is no cog
- The rules are for Admins whose access covers every location. A Location Manager cannot change them, and nor can an Admin who has had “Access all locations” switched off.
- Save is greyed out
- Nothing has been changed yet.
