Send meeting notes

Write up a meeting as Summary, Decided and To do, send it to everyone invited, and turn the to-dos into tasks on a board.

Who can do this: Sending notes: the meeting’s organiser, its co-hosts, and anyone with the “Set meetings and invite people” permission at its location. Everyone invited can read them.

On this page

Once a meeting has started, its hosts can send notes from the meeting’s Notes tab. Everyone invited can read them there, including the people who said they could not come.

Write and send the notes

  1. Open the meeting and press Notes. This is the same on the web and on the phone.
  2. Type or paste into the box marked Type or paste the notes. Rough notes are fine.
  3. To get to-dos people can tick, put them under a line that says To do, one to a line. Lines under Summary and Decided are kept as lists too. Under the box, a line counts what the notes will be read as, such as “Summary 2 · Decided 1 · To do 3”.
  4. Press Send notes. It says how many people they were sent to.

What happens next

  • Everyone invited, except you, is told there are notes. The notice carries the meeting’s title, not the notes themselves.
  • Where the location uses Messages, the notes are also posted in the meeting’s chat. The chat is made if the meeting did not have one.
  • The Notes tab shows the notes with who sent them and when. On the Meetings page on the web, the meeting is marked as having notes sent.

To correct them, press Edit on the Notes tab, change the text and send again. To-dos whose words you did not change keep their ticks, their person, their due day and their task.

Work through the to-dos

Notes sent with a To do list show it as a checklist, with a count such as “2/5 done”.

  • Tick one off. The hosts can tick any to-do. The person a to-do is for can tick their own. It shows who ticked it and when.
  • Say who it is for, and when. A host fills the Who and Due slots on a to-do. Who has to be someone in the meeting. If you write a to-do as “Reprint the menus — Priya”, and there is exactly one Priya in the meeting, it is given to her when the notes are sent.

Turn a to-do into a task

  1. On the to-do, press Make task. If there are several boards, choose one under Board first.
  2. It says Task made. The to-do now carries the board’s name; press it to open the task.
  3. To do them all at once, a host presses Make tasks, which carries the number of open to-dos.

From then on the to-do and the task are the same thing. Tick it in either place and it is ticked in both, and its person and due day are changed on the task. The hosts, and the person a to-do is for, can make it a task. The boards offered are the ones you can see for that location and for the whole business. See Add a task for boards and cards.

The meeting’s chat

A host can press Chat at the foot of the meeting to open a chat for it. Its people are exactly the people invited, and it follows the meeting: invite someone and they join it, take them off and they leave. Guests get the Chat key once the chat exists.

If it doesn’t work

The Notes tab says “No notes yet” and has no box
You are a guest, or the meeting has not started. Notes can be sent by its hosts from the moment it starts.
“Notes up to 20,000 characters”
The box holds more than can be sent. Cut it down, or use Tidy to shorten a long transcript into the three lists.
Nothing happened when you sent the same notes again
Notes that are word for word what the meeting already holds are not sent twice, and nobody is told.
There is no Make task key
The to-do is already a task, is already ticked, or is not yours: making a task is for the hosts and the person the to-do is for. No boards are offered at a location that does not use Tasks.
“They’re not in this meeting”
A to-do can only be given to someone who was invited to the meeting.
“Chat started” with “You’re not invited”
You set meetings at this location but are not invited to this one. The chat was made for the people who are, and you are not in it.
