Send a broadcast

Send an announcement to one team, several teams or part of a team, ask everyone to confirm they have read it, and remind the people who have not.

Who can do this: The “Send broadcasts to the whole team” permission: Location Managers and Admins by default; a Supervisor can be given it. Employees cannot.

On this page

A broadcast is an announcement. It lands in a location’s team chat as a card of its own, and it reaches everyone it is for even if they have muted that chat.

On the web

Go to Messages

  1. Press Broadcast at the top of the list of chats. The same key is at the top of a team chat, and starts with that team picked.
  2. Under To, tick the teams. Each team is a location you can broadcast at. All teams ticks them all.
  3. To send to part of one team, pick areas or positions under Whole team. The heading changes to Only. This is offered when exactly one team is ticked.
  4. Write the announcement in the box marked What does the team need to know?. Attach adds photos or files.
  5. Switch on Ask everyone to confirm if you need to know who has read it.
  6. Press the send key. It says who it is going to: Send to 1 team, Send to 3 teams or Send to part of 1 team. It then says Broadcast sent and opens the team chat.

On the phone

  1. Open the Messages tab and press Broadcast. There is also a megaphone key at the top of a team chat.
  2. Under To, tick the teams.
  3. With one team ticked, pick areas or positions under Whole team to send to part of it. The heading changes to Only.
  4. Write the announcement. Attach adds photos, videos or files.
  5. Switch on Ask everyone to confirm if you need to.
  6. Press the send key at the foot. It says Broadcast sent.

What happens next

  • The broadcast is in each team’s chat, headed Broadcast with your name and the time. One sent to part of a team also says which part.
  • Everyone it is for gets it in their inbox, and on their phone if notifications are on, whether or not they have muted the chat.
  • One sent to part of a team can still be read by the whole team in the chat. Only the people in that part are told about it and asked to confirm.

See who has confirmed

If you asked for confirmation, each reader gets a Got it key. You, and anyone else who can broadcast at that location, see a count on the broadcast, such as “8/12 confirmed”.

  1. Press the count. It lists who is under Waiting and who is under Confirmed.
  2. Press Remind them to tell everyone who is still waiting. It says Reminder sent on the web, and the key shows how many were reminded.

To stop the team chat filling with replies, see Manage a group chat for the Announcements only switch.

If it doesn’t work

There is no Broadcast key
You do not have the “Send broadcasts to the whole team” permission at any location. An Admin can switch it on for a Supervisor or a manager.
A location is missing from the list
The list has only the locations where you hold the permission.
“Nobody works in that part of the team”
Nobody at that location is assigned to the areas or positions you picked. Pick others, or send to the whole team.
“Choose one team to send to part of it”
Areas and positions belong to one location. Untick the other teams, or clear the areas and positions.
The send key is greyed out
It needs at least one team, and either some words or an attachment that has finished uploading.
