Manage a group chat

Rename a group, add and remove people, leave or archive it, make a team chat announcements only, and export a chat.

Who can do this: The “Create and manage group chats, and remove messages” permission: Location Managers and Admins by default; a Supervisor can be given it. Anyone can leave a group they are in.

Web and iPhoneChecked

On this page

Everything here is in the chat’s details. On the web, open the chat and press the panel key at the top right (Chat details). On the phone, open the chat and press the details key at the top right.

Rename a group

The group’s name is in a box at the top of its details. Change it and press Rename. It says Group renamed. A name can be up to 60 characters.

Add or remove people

  • Add: on the web press Add beside People; on the phone press Add people. Tick who to add. The people you add can read the whole chat, including what was said before they joined.
  • Remove: press the person’s name in the list. On the web choose Remove from group; on the phone press Remove. It says Person removed.

Leave a group

Anyone in a group can press Leave group at the foot of its details. The group goes from your list of chats. Someone who manages the group can add you back.

Archive a group

  1. Press Archive at the foot of the group’s details. It says Group archived.
  2. The group keeps everything in it, but nobody can send to it: the foot of the chat says Archived.
  3. To bring it back, open its details and press Unarchive. On the web, archived chats are behind the Archived key above the list of chats.

Make a team chat announcements only

A location’s team chat can be set so that only people who manage messages there can post in it. Everyone else can still read it, react, and confirm broadcasts.

  1. Open the team chat’s details.
  2. Switch on Announcements only.
  3. The chat’s heading now says it is for announcements, and for the rest of the team the message box is replaced by Only managers can post here.

Remove someone else’s message

In a team chat or a group, open the menu on the message (the three dots on the web, press and hold on the phone) and choose Delete. The chat keeps a line saying Message deleted, and the message’s photos and files are deleted too. A record is kept of who removed it.

Export a chat

On the web, press Export at the foot of the chat’s details. A spreadsheet (CSV) is downloaded with one row for each message, oldest first: when, from whom, the words, how many attachments it had, and whether it was edited. It says Chat exported. There is no export on the phone.

Anyone in a direct chat can export it. A team chat or a group can be exported by people who manage messages there. An export holds the most recent 5,000 messages.

To start a new group, see Start a chat or a group.

If it doesn’t work

There is no Rename, Archive or Remove
You do not have the permission, or this is not a group. Direct chats cannot be renamed or archived.
“Its people are the meeting’s”
This is a meeting’s chat. It cannot be renamed, added to, left or archived by hand: it follows the meeting and who is invited to it.
There is no “Announcements only” switch
It is for team chats only, and for people who hold the permission at that location.
