Record allergens

Record the allergens in a dish and in a recipe, which words Yes Chef recognises, and where what you record is shown.

Who can do this: Admins and Location Managers by default (the “Edit menus and items” permission); a Supervisor or an Employee can be given it.

On this page

Allergens are recorded in two places: on a menu item, and on a recipe. The two are separate records. Linking a recipe to a dish does not copy allergens from one to the other. Both are filled in on the web.

On the web: a dish

Go to Menu, then Menu

  1. Press the pencil on the dish’s row in the Items table, or start a New item.
  2. In Allergens (comma-separated), type each allergen with a comma between them: gluten, dairy, nuts.
  3. Look at the tags drawn under the box. A word Yes Chef recognises is shown as a tag, and one it reads as another word says so, such as “milk → dairy”. A word it does not recognise is drawn in amber and marked not one of the 14.
  4. Under the tags, On a printed menu shows what a printed menu will put beside the dish: a letter for each allergen, and any word that is not one of the fourteen as you typed it.
  5. Press Save (or Add for a new dish).

Use these fourteen words

These are the words the app files a dish under: gluten, dairy, nuts, peanuts, egg, soy, fish, shellfish, sesame, celery, mustard, sulphites, lupin, molluscs.

Some everyday words are read as one of them, and the form shows which: “prawns” as shellfish, “cheese” as dairy, “milk” as dairy, “wheat” as gluten. The form, Ask Yes Chef and a printed menu all read the words by the same rule, so a word the form shows as an allergen is printed as that allergen.

On the web: a recipe

Go to Menu, then Recipes

  1. Click the recipe to open it and go to Details.
  2. Under Allergens, press each one the recipe contains. There are fourteen keys: Gluten, Milk, Nuts, Peanuts, Egg, Soya, Fish, Crustaceans, Sesame, Celery, Mustard, Sulphites, Lupin and Molluscs.
  3. Each press is saved straight away, and says Allergen added or Allergen removed.

Where they are shown

  • The Items table. It has an Allergens column, hidden to begin with, that the table can also filter by.
  • Printed menus. In a design’s Details tab, under Allergens, choose Off, Letters or Words. With letters you can also print Key to the letters at the foot. See Design a printed menu.
  • The recipe book and the prep list. A recipe’s allergens are in its Details, and on the Ingredients tab of a prep item made from it.
  • Ask Yes Chef. Questions about which dishes contain an allergen are answered from what is recorded on the items of the menus that are switched on.
  • The phone’s menu editor. Its item list can be filtered by Allergen. The phone cannot change them.

The item form also draws an example headed On an order, with the note Order-taking on the phone · not on yet. Taking orders in the app is not available yet, so nothing is flagged on an order today.

If it doesn’t work

A tag says “not one of the 14”
The word is not one Yes Chef recognises. It is still saved on the dish as you typed it, and a printed menu prints it as typed, with an amber note in the designer. Use one of the fourteen words if one fits.
“… isn’t one of the fourteen allergens”
A recipe takes only the fourteen. Press the keys rather than typing.
The allergen keys on a recipe cannot be pressed
You can read the recipe but not change it. That takes the “Edit menus and items” permission at this location.
A dish’s allergens are missing from the printed menu
Check the design’s Allergens setting is not Off, and that allergens are recorded on the dish itself: a recipe’s allergens are not copied to it.
The designer says “allergen word · check”
A dish on the page records a word that is not one of the fourteen. Press the note, or open Details, to see which dishes and which words. The word is printed as typed until the dish is put right on the Menu page.
