How Menu and kitchen works

The ideas behind menus, the recipe book, the prep list, waste and the wall screen, where each lives on the web and the iPhone, and who can do what.

Who can do this: Everyone. What you can open depends on your permissions and on what your location has switched on.

On this page

This part of Yes Chef holds what the kitchen sells and what it has to make. Everything in it belongs to one location: each has its own menus, recipe book, prep list, waste log and wall screens. On the web, pick the location at the top of the sidebar first.

The menu

A location has one or more menus. A menu holds categories, and a category holds items: the dishes, with their prices. Each menu is switched on or off, and several can be on together. Dishes are archived, not deleted.

The recipe book

A recipe is a method written as stages. Each stage can have hands-on minutes and minutes it then looks after itself, which is what lets the prep list count a simmer down and tell you when it needs hands again. A recipe can also list its ingredients, its allergens and the dishes it goes into.

The prep list

The prep list is what the kitchen has to make, in place of the sheet of paper. Only what is not done is on it, and what was not done yesterday is still there today. A row is a plain line or a recipe from the book. Each is in one of four states:

  • Not started.
  • Started: someone is on it, and the row says who and at which stage.
  • On the go: a stage is looking after itself, with a countdown.
  • Ready: the wait is over and it needs hands. Nothing is marked done by the clock alone.

The list is shown in the order Yes Chef suggests or the order your kitchen put it in, the same for everyone. Things always made on the same day each week can be set up once as regular prep.

Waste

Waste is what was thrown away, how much, and why. It is recorded by tapping dishes on the phone during service, or as one entry written out in full. Entries are never deleted: a wrong one is corrected or voided, and the log shows that.

Where things are

On the web

Under Menu in the sidebar: Menu, Prep list, Regular prep, Recipes, Waste, Printed menus and Sales & GP. Under Settings: Waste reasons and Screens. A page you cannot use is not shown.

On the phone

Prep list and Waste are rows under Me, and the prep list is also on Today while there is something on it. Managers and supervisors have Menus under More on the Hub, and Sales & GP under Me if they can see the till. The recipe book, regular prep, waste reasons, screens and printed menus are on the web.

Who can do what

  • The prep list and reading recipes: everyone, by default.
  • Recording waste: everyone, by default. They see their own entries.
  • Seeing all waste, correcting and voiding it: Supervisors, Location Managers and Admins by default; an Employee can be given it.
  • Editing menus, recipes, regular prep and printed menus: Location Managers and Admins by default (the “Edit menus and items” permission); a Supervisor or an Employee can be given it.
  • Waste reasons and wall screens: Location Managers and Admins by default; a Supervisor can be given it.
  • Costs, margins and Sales & GP: people who can see the till’s sales, which is Location Managers and Admins by default. These figures come from the till: see See what sold and its GP.

A location can also have Menu, Prep or Waste switched off as a whole. Its pages then disappear for everyone there, and nothing is deleted.
